For Ecommerce Sellers Doing $50K–$500K/month

Your Shopify & Amazon numbers shouldn't need 12 spreadsheets to make sense.

I build QuickBooks Online accounting automations for ecommerce sellers — so your payouts reconcile, your fees are separated, your real margin is visible, and you finally know what your store is actually making.

Here's what's actually broken

QuickBooks isn’t the problem.
The problem is expecting QuickBooks to understand ecommerce payouts by itself.

QuickBooks is great as your accounting system. But it doesn’t know what’s inside a Shopify payout, Amazon settlement, or Stripe transfer. That’s where ecommerce books break.

What QuickBooks sees
What's actually inside

“Shopify deposit — $38,742”

Gross sales, refunds, discounts, gift cards, taxes, processor fees, timing differences

“Amazon deposit — $51,300”

Sales, FBA fees, referral fees, storage, ads, reimbursements, refunds, reserves, marketplace tax

“Stripe payout — $12,900”

Charges, refunds, disputes, fees, reserves, payout timing

“Supplier payment — $25,000”

Inventory deposit, balance payment, freight, duties, landed cost, prepaid inventory

“Sales tax payable”

Seller-collected tax, marketplace-collected tax, refunded tax, filing timing, nexus exposure

Sound familiar?

Your books aren't messy because you're careless. Ecommerce accounting is just built differently.

A regular bookkeeper reconciles a bank account. You need someone who reconciles payouts, processors, inventory, refunds, fees, gift cards, sales tax, and marketplace settlements — all at once.

💸

Shopify says one number. QuickBooks says another.

Your store shows $200K in sales, but QuickBooks only shows the net deposits. Discounts, refunds, taxes, gift cards, and Shopify fees are hiding inside every payout.

📦

Amazon settlements feel impossible to decode.

One Amazon payout can include product sales, FBA fees, referral fees, storage, refunds, reimbursements, tax, reserves, and ad deductions. If it's posted as one deposit — your margin is fiction.

🧾

Sales tax is sitting in the wrong place.

Marketplace-collected tax, Shopify-collected tax, refunded tax, and state-by-state nexus — all mixed together. That's how scary tax notices happen.

📉

P&L says "profitable," but cash feels tight.

Inventory deposits, ad spend, processor reserves, chargebacks, and supplier payments drain cash even when revenue is growing. Your P&L won't warn you fast enough.

🏷️

You don't know your real product margin.

Factory cost isn't true COGS. Add freight, duties, tariffs, packaging, 3PL receiving, Amazon adjustments, damaged units, and returns — that's your real number.

🧩

Month-end close is a spreadsheet marathon.

You're exporting from Shopify, Amazon, Stripe, PayPal, your 3PL, bank, tax tool, and ad platforms — then stitching them together manually before your CPA asks questions.

What I automate · Real n8n workflows

8 ecommerce automations I've actually built.

Every workflow below is a real n8n build — not a template. Each one runs quietly in the background and pushes clean, accounting-ready data into QuickBooks.

Shopify Payout Reconciliation n8n workflow screenshot
n8n workflow

Shopify Payout Reconciliation

Before

Shopify deposits recorded as Sales. Nothing ties to the bank.

After

Each payout splits into gross sales, refunds, discounts, gift cards, tax, and fees — posted to QuickBooks through a clearing account.

Amazon Settlement Decoder n8n workflow screenshot
n8n workflow

Amazon Settlement Decoder

Before

Amazon payouts are one lump sum. FBA fees, refunds, reimbursements, and reserves are invisible.

After

Settlement data is mapped line by line into QuickBooks — separate accounts for sales, fees, refunds, reimbursements, tax, and reserves.

Stripe & PayPal Clearing n8n workflow screenshot
n8n workflow

Stripe & PayPal Clearing

Before

Processor deposits never match sales reports. Someone exports CSVs and hunts for differences.

After

Payouts matched to charges, refunds, disputes, and fees before hitting QuickBooks. You know what cleared, what's pending, and what's leaking.

Sales Tax Separator n8n workflow screenshot
n8n workflow

Sales Tax Separator

Before

Marketplace-collected and seller-collected tax get mixed into revenue or one generic liability.

After

Marketplace facilitator tax separated from seller-collected tax, with a state-level review dashboard.

Landed Cost & COGS Engine n8n workflow screenshot
n8n workflow

Landed Cost & COGS Engine

Before

Supplier cost, freight, duties, tariffs, and 3PL fees scattered across invoices and spreadsheets.

After

Shipment costs allocated by SKU with month-end inventory/COGS entries auto-posted to QuickBooks. You price based on real margin.

Expense Auto-Categorizer n8n workflow screenshot
n8n workflow

Expense Auto-Categorizer

Before

Klaviyo, Gorgias, ShipStation, Route, Triple Whale — all coded randomly as software or marketing.

After

Ecommerce vendors categorized by function: marketing, retention, fulfillment, support, analytics, payment fees.

Weekly Cash Dashboard n8n workflow screenshot
n8n workflow

Weekly Cash Dashboard

Before

You check your bank balance and hope it covers inventory, ads, payroll, and supplier payments.

After

Weekly view of cash on hand + pending payouts + open bills + ad commitments + inventory payments. See problems before they're emergencies.

CPA-Ready Close Binder n8n workflow screenshot
n8n workflow

CPA-Ready Close Binder

Before

Tax time means hunting through Gmail, Shopify, Amazon, and 6 other platforms for documents.

After

Every month gets a close binder: QuickBooks reports, payout summaries, inventory schedules, tax support, and missing-document alerts.

The process

A clear path from chaos to control.

A practical workflow that turns scattered transactions into reliable monthly insights — without overhauling your business.

01

Diagnose the books

Free audit of your QuickBooks file, sales channels, payout flow, and inventory setup. We find the leaks.

02

Clean up the data

Cleanup, catch-up, account remapping, and channel separation — so books are accurate before automating.

03

Automate reporting

Custom n8n workflows wired to Shopify, Amazon, Stripe, PayPal, QuickBooks, and your inventory tools.

04

Review growth decisions

Weekly dashboards and monthly insights so you make growth decisions backed by clean data — not guesses.

Your tools, connected

I work with the tools your business already uses.

No new dashboards to babysit. I connect systems behind the scenes so QuickBooks receives clean, accounting-ready data.

I don't connect apps blindly. Bad syncs create duplicate sales, wrong tax, and broken reconciliations. My approach: map first, test second, automate third, review always.

FAQ

Questions sellers ask before fixing their books.

You can handle simple bookkeeping yourself for a while. The problem is that ecommerce accounting isn't just bank categorization. Once Shopify, Amazon, Stripe, inventory, and sales tax are all involved, the risk isn't falling behind — it's that the numbers look clean but are actually wrong.

You may not need to replace them. Many general bookkeepers are great at normal QuickBooks work but don't know ecommerce settlement accounting. I can handle the ecommerce layer and give your current bookkeeper a cleaner system to work from.

I don't blindly push data into QuickBooks. I map accounts first, test workflows, use duplicate checks, stage entries before posting, and route exceptions for review.

Nope. The automations run behind the scenes. You see the outputs: clean QuickBooks entries, exception alerts, dashboards, and monthly reports.

That's normal. I usually begin with a diagnostic review, then decide whether you need cleanup, automation setup, or both.

Pricing depends on your channels, revenue volume, inventory complexity, tax exposure, and cleanup needs. I offer a free initial consultation to scope it out.

Free diagnostic review

Every month you wait, the cleanup gets bigger.

Start with one free review. I'll look at your QuickBooks file, sales channels, payout flow, and current reporting — then show you where the biggest leaks are.

No pressure. No sales pitch. Just a clear-eyed look at your ecommerce accounting.
